ALL DRIVERS:- UK & NON-UK MUST PRESENT THERE PHOTOCARD DRIVING LICENCE & RELEVENT PAPERWORK ON THE DAY OF HIRE.

Insurance

Comprehensive insurance is provided for one driver as part of the hire agreement. There is a £800 excess which must be paid by the hirer following any incident where an insurance claim is made. Additional drivers can be added at an extra cost of £8 per day. Full comprehensive European insurance available at an extra cost of £80 per hire.

Security Deposit

A security deposit of £800 (£1,200 deposit for festival hire) is taken to cover any damage to the motorhome or damage/breakages of the equipment. This is payable on the day of collection. When the Motorhome is returned it will be checked over and once deemed to be in a satisfactory condition as agreed, this deposit is returned in full, either by card / bank transfer depending on how it was paid. The following demonstrates some reasons why the deposit may not be returned in full:

  • Toilet cassette not emptied – £50
  • General cleanliness (requires valet) – £160
  • Vehicle damage – Cost of repair, up to but not exceeding Insurance Excess

The hirer is responsible for payment for:

  • Any damage to windows, mirrors, windscreen or tyres.
  • Wilful damage, neglect of care or accidental damage (e.g. a tin falling out of a cupboard and damaging a worktop)
  • Any costs incurred due to the fault of the hirer (e.g. keys locked inside the vehicle or wrong type of fuel used).

This list is just an indication of reasons why we would retain some of the security deposit and is not exhaustive. We understand there will always be the odd occasion when it has been impossible to return the vehicle in the same condition as you picked it up, however we believe we operate a fair system to cover our costs in rectifying any problems.

Breakdown

Our vehicles are maintained in accordance with the manufacturer’s instructions, however there will always be times when, due to component failure, one of the vehicles breaks down. Full roadside assistance is provided and will be explained in the handover. If repairs are required to the vehicle the hirer is able to authorise work up to £100 without reference to the company. Above this amount the company must be informed before any work is undertaken otherwise the hirer will be liable for the full cost. In the event of repairs being effected under £100 ceiling a full invoice and receipt must be obtained and given to the company on return of the vehicle so that the hirer can be reimbursed.

Accidents

In the event of an accident the safety of the hirer and their party is paramount. Emergency services should be called first if necessary and the accident dealt with in the necessary manner.

Only after everyone involved in the accident is safe should the hirer contact the company if necessary and then try and minimise loss to the company if it is safe to do so.

Regardless of how minor the accident may seem, full details of anyone involved needs to be reported in the accident log kept in the vehicle, together with any photographic evidence. This is the responsibility of the hirer. If the accident is of a serious nature, causing any damage to the vehicle, another vehicle or third party, then the company must be informed.

Traffic Offences

If Heaths Motorhome Hire Ltd is contacted by the authorities regarding any traffic offences whilst the vehicle is hired then we will be obliged to pass on your information as requested, and an admin fee of £40 will be charged.

Rehire

If our motorhomes are rehired all insurances will become void and the relevant authorities will be informed.

Fuel, Oil, Gas and Other Consumables

The vehicle is supplied with a full tank of diesel and should be returned in the same manner. If the fuel tank is not showing as full then it will be refuelled and the cost of the fuel plus a £40 admin fee will be charged. Two gas cylinders are supplied with each motorhome, one of which will be full. If more gas is required this is the responsibility of the hirer. In any event both cylinders must be returned.

Smoking

Smoking inside the motorhome, either in the cab area or in the living area, is strictly prohibited.

Mileage

All our motorhomes are unlimited mileage.

Collection and return

The motorhomes are available to collect from 2.30 pm on the day of rental and must be returned no later than 9am on the day of termination. If returned late this will result in a traffic offence due to the insurance cover lapsing and a charge of £100 per hour or part thereof will be made. Upon return the vehicle will be checked over with the hirer to assess any possible reasons for loss of deposit. If satisfactory then the security deposit will be refunded in full. If the vehicle is returned early for whatever reason, no refund of the hire charge will be given.

Cancellations

If for whatever reason the hirer wishes to cancel their holiday this must be notified in writing and the following penalties are incurred:

  • More than 4 weeks from start of holiday – loss of deposit
  • Between 4 weeks to 2 weeks before start of holiday – 50% of total hire charge
  • 2 weeks or less – 100% of hire charge.
  • If we can rehire the motorhome this money will be refunded less £50 admin charge.
